 Secretarial Assistant to the CEO

At Axiom Insurance Company, we are looking for a Secretarial Assistant to work in our busy office.

The successful candidate will be responsible for providing administrative and secretarial support to the CEO and to the team, must be able to work under pressure and to handle a wide variety of activities.

Roles and Responsibilities

Everyday Onsite Responsibilities

  • Answers and directs all incoming calls; greets and assists visitors; maintains knowledge of staff whereabouts
  • Prepares outgoing mail and correspondence, as well as schedules and confirms appointments and meetings, meeting agendas and takes minutes as needed
  • Monitors office supply levels and place orders as necessary; opens, sorts, and distributes incoming correspondence and performs data entry and maintains accurate filing systems
  • Make travel arrangements for staff as needed

Executive Support

  • Completes a broad variety of administrative tasks for the CEO
  • Plans, coordinates and ensures the CEO's schedule is followed and respected. 
  • Keeps records of corporate documents, records and reports

 Board Support

  • Maintains discretion and confidentiality in relationships with all board members
  • Adhere to compliance with applicable rules and regulations set in by laws regarding Board of Directors' matters, including advance distribution of materials before meetings in electronic/paper format.

Qualifications

  • Strong organizational skills and attention to detail
  • Very strong interpersonal skills
  • Expert level written and verbal communication skills both in Bulgarian and English language (written and verbal communication in Italian language will be an advantage)
  • Highly resourceful team-player
  • Proven ability to handle confidential information with discretion

 Education and Experience Requirements

  • Bachelor's degree required
  • Strong work tenure: three to five years of experience supporting C-Level Executives
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point) with aptitude to learn new software and systems
  • Solid organizational and time-management skills
  • Flexible and adaptable to changing situations
